Every creator, from first DM to real ROI
The Influencer CRM tracks a creator relationship through an eight-stage pipeline: outreach, negotiation, product shipment, posted content, and a real cost-vs-revenue picture, instead of scattering that across a spreadsheet, a shared inbox, and a shipping app.
This guide covers the pipeline stages, what gets tracked at each step, and how Instagram auto-enrichment fills in profile data for you.
The Outreach Pipeline
Every creator moves through an eight-stage pipeline that mirrors a real gifting/collab workflow, viewable as a Kanban board with a running count per stage.
- Not Contacted → Reached Out → Negotiating → Agreed → Product Sent → Waiting for Reel → Reel Posted → Completed.
- Rejected creators are shown separately below the board rather than mixed into the active pipeline, so a dead lead doesn't clutter your working view.
- Each card in the board shows the creator's name, Instagram handle (linked out), follower count, and quick icons for product sent / reel posted status.
- Set a Next follow-up date on any creator so outreach that's waiting on a reply doesn't quietly go stale.
Creator Records
Each creator record captures everything you'd otherwise be tracking in a spreadsheet: contact details plus context.
- Full name, Instagram handle, follower count, niche/category, email, phone/WhatsApp, and an optional profile URL.
- Free-form Notes for context: past conversations, content style, anything that doesn't fit a structured field.
- Contact status can be set directly in the form, or a creator moves through the pipeline stages as you work with them.
Product Shipment Tracking
Once a creator agrees to a collab, the Product shipment section tracks what was sent and where it is.
- Product sent toggle turns on product name, product value (₹), shipping status, courier name, and tracking number fields.
- Shipping status moves through Preparing → Shipped → Delivered → Returned, giving you a real logistics view per creator instead of a single "sent" checkbox.
Reel Performance & Deal Terms
Once content goes live, two more sections track how it performed and what the collab actually cost.
- Reel posted toggle unlocks reel URL, views, reach, likes, comments, and engagement rate (%) fields.
- Deal type covers four models: Gifted product, Cash payment, Commission %, or Barter. Each surfaces the relevant fields (cash fee, or commission percentage) instead of one generic "cost" box.
- Payment status tracks Pending, Partial, or Paid, and Revenue attributed (₹) plus free-form ROI notes let you record the real return on a specific creator relationship.
Instagram Auto-Enrichment
Adding a creator with an Instagram handle can automatically pull in real profile data, if your brand has Creator Insights connected.
- When Facebook Business (Creator Insights) is connected, BrandOps looks up the handle and fills in display name, bio, follower count, media count, and avatar.
- It never overwrites a follower count you've already entered by hand; it only fills that field in when it's still blank, so your own data always wins.
- This runs on every path that creates a new creator record (quick-add, the full form, or converting a lead), and it's entirely best-effort: no connection, a personal (non-Business) account, or a rate limit simply means enrichment is skipped, never a blocked creation.
Templates & Import
Two tools cut down the repetitive parts of running outreach at any real volume.
- Outreach Templates: save reusable message templates so your first-touch DM, negotiation follow-up, or reminder doesn't get rewritten from scratch every time.
- CSV Import: bring in an existing spreadsheet of creator contacts in bulk instead of adding them one at a time.
Frequently Asked Questions
What are the pipeline stages for a creator?
Not Contacted → Reached Out → Negotiating → Agreed → Product Sent → Waiting for Reel → Reel Posted → Completed, with Rejected tracked separately outside the main flow rather than mixed in as a dead end in the active pipeline.
How is conversion rate calculated?
It's the percentage of creators with product sent who went on to post a reel (reel-posted count divided by product-sent count). It shows as a header stat alongside your total creator count and total product-sent count.
What gets tracked once a product is sent?
Product name, product value, shipping status (Preparing, Shipped, Delivered, Returned), courier name, and tracking number, so you can follow a gifted item from your warehouse to the creator's door without leaving the CRM.
What reel performance data can I log?
Reel URL, views, reach, likes, comments, and engagement rate (%). These sit alongside a reelPosted toggle, so a creator's card can show at a glance whether content is live and how it performed.
How does BrandOps track what a deal actually costs?
Four deal types: Gifted product, Cash payment, Commission %, and Barter. Depending on the type, you log a cash fee or a commission percentage, plus a payment status (Pending, Partial, Paid) and revenue attributed to that creator, giving you a real cost-vs-return read per relationship instead of just a follower count.
Does BrandOps pull in Instagram data automatically?
Yes, best-effort. When you add a creator with an Instagram handle and your brand has Creator Insights (Facebook Business) connected, BrandOps quietly enriches the record with their display name, bio, follower count, media count, and avatar. It never overwrites a follower count you've already typed in by hand; it only fills the field in if it's still blank. If enrichment fails for any reason (no connection, a personal account, a rate limit), creator creation still succeeds. It's never a blocker.
What are Outreach Templates for?
Saved, reusable message templates for reaching out to creators, so your team isn't retyping the same pitch or negotiation follow-up from scratch every time.
Can I bring in a list of creators I already have?
Yes, via CSV import, so an existing spreadsheet of creator contacts doesn't need to be re-entered one by one.
