How to send email campaigns

Email Campaigns composes and sends a one-off promo email to your existing audience (clients, subscribers, or customers, depending on your business type), with personalization, template reuse, and scheduling built in.

This guide covers building a campaign, who receives it, and how scheduling works.

Building a Campaign

Click Create draft on the Email Campaigns page and give it a name, subject, and body.

  • Name is just for your own list; it's never shown to recipients.
  • Subject and Body are what recipients actually see, and both accept {{name}} style placeholders for per-recipient personalization.
  • A new campaign starts as a Draft. Nothing sends until you explicitly send it or schedule it.

Using the Template Library

You don't have to write a campaign from scratch: the compose form shows chips for every saved template in your Outreach Templates library.

  • Click a template chip to insert its subject and body directly into the form.
  • This is the exact same shared library used by Outreach's lead composer and each Outreach Sequence step, so a message you write once is reusable everywhere.

Your Audience

There's no separate list to manage. The audience is resolved automatically from your existing data based on Business Type.

  • Consulting and Freelance brands send to Clients with an email on file who haven't opted out of marketing.
  • SaaS brands send to Subscriptions that aren't Cancelled and haven't opted out.
  • Ecommerce brands send to past Order customers, deduplicated by email so a repeat customer only gets one copy.
  • A brand with no matching business type (for example Content/Media or Other) has no audience source yet, so its campaigns have nobody to send to.

Scheduling & Recurrence

Every campaign can send right away, or be set up to go out later, once or on a repeating cadence.

  • Toggle Schedule for later and pick a date and time; the campaign moves to Scheduled and sends automatically at that moment.
  • Optionally set a repeat interval in days. After a successful send, the campaign automatically re-arms to Scheduled with its send time pushed forward by that many days, instead of ending as a one-off.
  • A Failed send never re-arms itself; that needs a human to look at it, not a silent retry loop.

Sending & Status

A campaign moves through a clear status pipeline so you always know where it stands.

  • Status flows Draft → (Scheduled →) Sending → Sent, or Failed if every send attempt failed.
  • Once sent, the campaign records its recipient count, how many sends succeeded, and how many failed.
  • Every email includes a visible unsubscribe link in the footer and the List-Unsubscribe header, so recipients can always opt out in one click.

Frequently Asked Questions

Who actually receives an email campaign?

It depends on your Business Type. Consulting and Freelance brands send to their Clients who have an email on file and haven't opted out. SaaS brands send to active Subscriptions (anything not Cancelled). Ecommerce brands send to past Order customers, deduplicated by email so nobody gets the same campaign twice.

Can I personalize the email per recipient?

Yes. Use {{name}} or {{brand_name}} style placeholders in your subject or body, and BrandOps substitutes each recipient's own name and your brand's name when it sends. A placeholder that doesn't match a known variable is left as-is rather than silently disappearing.

Where do the Template chips on the compose form come from?

They come from your organization's Outreach Templates library, the same set of subject and body templates used in Outreach and Outreach Sequences. Click a chip to drop that template's subject and body straight into the campaign form.

What happens if I turn on "Schedule for later"?

The campaign moves to Scheduled instead of sending immediately, and goes out automatically at the date and time you set. You can optionally add a repeat interval in days. Once set, a successful send automatically re-arms the campaign back to Scheduled with its send time advanced by that many days, and it keeps repeating until you turn scheduling off. A failed send never auto-repeats.

Is there an unsubscribe link on every campaign email?

Yes. Every campaign email includes a visible unsubscribe footer link plus the List-Unsubscribe header inboxes use for one-click unsubscribe, so recipients can always opt out in one step.

What if a customer already unsubscribed from marketing email?

They're automatically excluded. Opting out flips a marketing opt-out flag on their Client, Subscription, or Order record, and that flag is checked before a campaign's audience is built, so they never receive it again.

What do "sent" and "failed" mean on a campaign?

After a send, each campaign records how many recipients it was addressed to, how many actually went out successfully, and how many failed to deliver, so you can see exactly what happened rather than just a single pass/fail result.
