How to manage tasks
Tasks is where everything that needs doing lives, across content, orders, clients, support, or whatever categories matter to your business. It covers a daily Today view, status columns, priority and category filtering, checklists, and recurring tasks.
This guide walks through each part of the Tasks page so your team always knows what's next.
Statuses & Tabs
Tasks move through five statuses, and tabs at the top of the page filter the list to one at a time.
- Today, All, To Do, In Progress, Review, Done, Blocked: each tab shows a live count.
- Tasks are sorted by priority first, then due date, then newest created.
- Clicking a task's circle icon toggles it straight to Done (or back to To Do), without opening the full task detail.
- Deleting or changing a task's status from the list view updates the count on every affected tab immediately.
The Today View
The Today tab is a focused daily checklist rather than another filtered list. It's built to answer "what do I need to do right now."
- Three groups: Overdue, Due Today, and Completed (today's completions only).
- Within each group, tasks are sorted Urgent → High → Medium → Low so the most pressing work is always at the top.
- Overdue tasks show a red "Overdue · [date]" label; completing a task moves it out of its group into Completed instantly.
- When there's nothing overdue, due, or completed today, it shows "You're all caught up!" instead of an empty list.
Category & Priority
Every task has a Category and a Priority, and both can be filtered alongside a free-text search.
- Categories: Content, Influencer, Website, Amazon, Support, Ads, Packing, Shipment, Client Delivery, Other.
- The category picker (in both the create form and the filter bar) is trimmed to what's relevant for your brand's business type: a Consulting brand sees Client Delivery, Content, Support, and Other; a SaaS brand sees Content, Website, Support, Ads, and Other, and so on.
- Priorities: Low, Medium, High, Urgent. Priority drives sort order everywhere tasks are listed.
- Search matches a task's title and description at once, and combines with the active status tab, category, and priority filters.
Recurring Tasks
For work that repeats on a rhythm, mark a task as recurring instead of recreating it manually.
- Choose a recurrence pattern: Every day, Every week, Every 2 weeks, or Every month.
- A recurring task shows a small repeat icon and its pattern (e.g. "weekly") directly on its card.
- Marking a recurring task Done can hand back a fresh next occurrence, which appears at the top of the list alongside the one you just completed.
Checklists & Views
Break a task into smaller steps with a checklist, and choose whichever layout fits how your team scans work.
- A task's checklist items show as a progress count (e.g. "2/5 done") and a progress bar on its card, so status is visible at a glance.
- Grid view shows tasks as cards with title, category, priority, due date, checklist progress, and assignee. List view shows the same tasks as compact rows.
- Switch between Grid and List from the toggle at the top of the page; both respect the same filters.
- Click any task to open its full detail: description, checklist, assignee, and activity.
Frequently Asked Questions
What statuses can a task have?
To Do, In Progress, Review, Done, and Blocked. Each status tab at the top of the Tasks page shows a live count, and tasks are sorted by priority, then due date, then newest first.
What does the Today tab show?
A daily checklist split into three groups: Overdue, Due Today, and Completed (today). It's sorted so Urgent tasks surface before High, Medium, and Low within each group, so you always see what needs attention first.
What task categories are available?
The full set is Content, Influencer, Website, Amazon, Support, Ads, Packing, Shipment, Client Delivery, and Other, but the create and filter pickers only show the categories relevant to your brand's business type. For example, a Freelance brand sees Client Delivery, Content, and Other, not Packing or Amazon.
What priority levels are there?
Low, Medium, High, and Urgent. Priority is the primary sort order across the Tasks page and the Today checklist, so higher-priority work always surfaces first.
Can a task repeat automatically?
Yes. Mark a task as recurring and choose a pattern: every day, every week, every 2 weeks, or every month. A recurring task shows a repeat icon and its pattern on its card.
Can I attach a checklist to a task?
Yes. Tasks with checklist items show a progress count (e.g. "2/5 done") and a progress bar right on the card, so subtask progress is visible without opening the task.
What's the difference between Grid and List view?
Grid shows tasks as cards (title, category, priority, due date, checklist progress, assignee) in a responsive multi-column layout. List shows the same tasks as compact rows. Both apply the same status tab, search, category, and priority filters.
