How to use Posting Approvals
Before content goes live, it can pass through a Review stage where an Admin or Owner signs off on it. The Approvals page is a single queue of everything waiting on that sign-off, with one click to approve and schedule it, or send it back with feedback.
This guide covers what shows up in the queue, who can act on it, and what happens on approval versus rejection.
The Approvals Queue
Every content pipeline item with status Review shows up here, sorted by due date first so nothing sits waiting past its deadline unnoticed.
- Each row shows a thumbnail, the item's title, platform badge, and post type, plus a preview of its caption if it has one.
- Scheduled time (if the item already had one queued), due date, and who created it are all shown so reviewers have context without opening the item elsewhere.
- The page header shows a live count of items awaiting review.
- An empty queue shows an "All clear" message with "No items awaiting approval" underneath, instead of a blank table.
Who Can Approve
Approving and rejecting is restricted to Admins and Owners; everyone else has read-only access to the queue.
- Team members below Admin can open Approvals and see exactly what's waiting, but the Approve and Reject buttons aren't rendered for them.
- A banner explains this directly on the page: "You can view items pending approval, but only Admins and Owners can approve or reject."
- This keeps visibility open to the whole team while keeping the actual publish decision with people who have that permission level.
Approving an Item
Clicking Approve opens a dialog to confirm the publish date and time before the item moves to Scheduled.
- If the item already has a scheduled time more than 15 minutes in the future, that time is pre-filled. Otherwise you're prompted to pick one.
- The publish date and time must be at least 15 minutes from right now. Approving with a time in the past or too soon isn't allowed.
- Confirming moves the item straight to Scheduled and removes it from the Approvals queue.
- A success toast confirms the item was approved and moved to Scheduled.
Requesting Changes
Rejecting an item sends it back to the creator with feedback attached, rather than just disappearing from the queue.
- A rejection note is required: you can't submit a rejection with an empty feedback field.
- Rejected items move back to Drafted status, where the original creator can revise and resubmit them for review.
- A success toast confirms the item was rejected and returned to Drafted.

Can I see the caption and media before approving?
Yes. Each item in the queue shows a thumbnail, its title, platform, post type, and a preview of the caption, along with who created it, its due date, and any scheduled time it already has.
